Roles and responsibility for Admin/Facilities Manager, AON, Bangalore :

1.                   Local Transport:

  1. Oversee daily transportation arrangements for Aon Benfield staff.
  2. Manage cab requests, route and time change requests, etc in coordination with Cambridge transport department.
  3. Arrange cabs for new joinees, during emergency situations.
  4. Liaise with transport vendors for arranging cabs for employees working late, visitors, interview candidates, etc…

2.                  Official travel:

  1. Make travel arrangements including obtaining visa, tickets, per diems, hotel bookings, etc for Aon Benfield Bangalore employees. Coordinate effectively with the Cambridge travel department.
  2. Assist Aon employees from other offices plan their visit to the India office
  3. Liaise with admin persons of other Aon offices such as Chicago and other regions for making international travel arrangements.
  4. Make domestic travel arrangements for new joinees and outstation interview candidates.

3.                  MIS:

  1. Maintain staff records such as employee details (ID, email, phone number, date of joining, date of birth), attrition rates, etc. Circulate staff reports periodically to the management.
  2. Track and maintain leave records for Aon Benfield employees
  3. Maintain list of key important Aon Benfield persons along with their contact numbers.
  4. Maintain contact details of key ASSPL and Cambridge staff

4.                  Reporting

  1. Create and circulate weekly/monthly time reports generated from ACE projects.

5.                  Procurement and Expenses

  1. Arrange procurement of office supplies as and when required
  2. Record day to day expenses of the team in prescribed format

6.                  Vendor management

  1. Maintain a list of vendors along with relevant documents such as NDA, SOWs, work agreements, etc.
  2. Track and inform management about expiry dates of contracts, etc.

7.                  Library

  1. Maintain the library of books and S/w media for Aon Benfield team

8.                  HR

  1. Assist in recruiting and other HR related activities as needed.
  2. Assist in hosting team activities including meetings, team outings, etc…
  3.  Collaborate with ASSPL admin and support staff on Admin, HR, IT and other matters.
  4. Manage distribution of Sodexho passes to Aon Benfield employees on a monthly basis.

9.                  Support on Projects

  1. Assist teams in project related activities such as data entry/downloading, etc as and when required.

1. Solid experience on Corporate Admin activities.

2. Excellent written and oral communication with corporate Etiquette.

3. Highly organized personality.
